This website is operated by O2SOFT (registered company name, e.g. O2SOFT Ltd), registered in England and Wales under company number company number, with its registered office at registered office address. In this policy "O2SOFT", "we", "us" and "our" refer to that company.

02The data we collect
We collect personal data in the following ways:
- Contact and enquiry forms: your name, email address, company, phone number, project description, budget range and the topic you need help with.
- Live chat: if you use the chat window on our website, the messages you send and any contact details you choose to share.
- Email and phone: the information you give us when you contact us directly.
- Job applications: the details and CV you send us if you apply for a role.
- Usage data: information about how you use our website, such as pages visited, time on page, approximate location, browser and device type, collected through cookies (see Cookies).
We do not knowingly collect special category data (such as health information), and we ask you not to include it in your enquiries.
03How we use your data
We only use your personal data where the law allows us to. We use it to:
- Reply to your enquiry and discuss your project. Lawful basis: our legitimate interest in responding to people who contact us, or steps taken at your request before entering into a contract.
- Prepare proposals and deliver services if you become a client. Lawful basis: performance of a contract.
- Assess job applications. Lawful basis: our legitimate interest in recruiting, and steps taken at your request.
- Understand how our website is used and improve it, and measure our advertising. Lawful basis: your consent, where cookies are not strictly necessary.
- Keep records for accounting, tax and legal purposes. Lawful basis: legal obligation.
We do not sell your personal data, and we do not send marketing emails unless you have asked us to. You can opt out of any communication at any time.
04Who we share it with
We share personal data only with trusted service providers who help us run our business, and only as much as they need:
- Google (Google Workspace and Google Sheets), where enquiry form submissions are stored, and Google Analytics for website statistics.
- Meta (Facebook Pixel), to measure the effectiveness of our advertising.
- Tidio, which provides our live chat.
- FormSubmit, which delivers messages sent through our website forms to our inbox.
- Our website hosting and IT providers.
- Professional advisers such as accountants and lawyers, where needed.
We may also disclose data if required by law, or to protect our rights or the safety of others.
05International transfers
Our delivery team is based in Lahore, Pakistan, and some of our service providers process data outside the UK, including in the United States and the European Economic Area.
Where personal data is transferred outside the UK, we make sure it is protected, for example by relying on UK adequacy regulations or by using the UK International Data Transfer Agreement or Addendum to the EU Standard Contractual Clauses.
06How long we keep it
- Enquiries that do not lead to work: up to 2 years from our last contact, then deleted.
- Client and contract records: 6 years after the end of the engagement, for legal and tax purposes.
- Unsuccessful job applications: up to 12 months, unless you ask us to delete them sooner.
- Analytics data: according to the retention settings of the analytics provider.
07Cookies
Cookies are small files stored on your device. We use:
- Strictly necessary cookies that make the website and live chat work.
- Analytics cookies from Google Analytics, which help us understand how visitors use the site.
- Advertising cookies from Meta, which help us measure our advertising.
Analytics and advertising cookies are only needed if you agree to them. You can block or delete cookies in your browser settings at any time; the site will still work, although some features may be affected.
08Your rights
Under UK data protection law you have the right to:
- Access the personal data we hold about you
- Ask us to correct inaccurate or incomplete data
- Ask us to delete your data
- Ask us to restrict or stop processing your data
- Object to processing based on our legitimate interests
- Receive your data in a portable format
- Withdraw your consent at any time, where we rely on consent

If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113. We would appreciate the chance to resolve your concern first.
09Keeping your data secure
We use appropriate technical and organisational measures to protect personal data, including access controls, encryption in transit and staff confidentiality obligations. No method of transmission over the internet is completely secure, but we work hard to protect the information you share with us.
10Children
Our website and services are intended for businesses and are not aimed at children under 16. We do not knowingly collect data from children.
